INDUSTRY: ENERGY & PUBLIC SERVICES

A leading German energy supplier, holding approximately 20% of the industrial and commercial gas market and around 30% of the electricity market for residential and commercial customers.

The client faced challenges related to high outsourcing costs, as well as the time-consuming processing and handling of invoices. By implementing Robotic Process Automation (RPA), the company achieved significant cost savings, accelerated payment cycles, and reduced outstanding debt.
The use of robots also enabled the organization to scale its operations, shorten processing times, and minimize error rates. Over time, the company expanded its RPA expertise beyond invoice handling, successfully applying automation to sales, finance, ICT, and HR functions.

ROBOT TASKS:
At the start of our cooperation, we conducted a comprehensive audit to understand the client’s operational logic. We began by focusing on a single process, gradually mapping the entire network of interconnected systems and workflows. This approach encouraged the client to commission additional robots, and our implementations continue to this day.

One example robot operates within MS Office applications, communicates with the company’s external network provider to await responses, resolves missing meter readings in SAP ERP, interacts with third-party websites, and more. Running the robot outside business hours enabled the company to quickly scale operations during peak workloads, reducing turnaround times and significantly lowering error rates. Following the success of the invoicing automation, the organization expanded its RPA capabilities to sales, finance, ICT, and HR functions.
RESULT
The company significantly reduced fuel cost processing times through the implementation of Robotic Process Automation (RPA). The solution enables automatic reading of emails from suppliers and contractors, downloading invoices with attachments, and extracting the relevant data for transformation and processing.

RPA robots handle data validation, integration, and cleansing, as well as formatting spreadsheets into the required structure. This not only boosts efficiency and data accuracy but also improves employee satisfaction by reducing payment-related inquiries from suppliers. Moreover, the company has avoided penalties for late payments, adding further value to the automation initiative.
