INDUSTRY: LOGISTICS

A French company specializing in transport services and supply chain management, renowned for its extensive fleet of rental trucks and dedicated transport solutions, serving over 50,000 consumer goods manufacturers.

Our client received fuel invoices in an unstructured format, which had to be converted into a structured form to reconcile accounts receivable from suppliers and vendors — a process critical to their core operations. Each invoice required manual validation and system integration, making the workflow time-consuming and prone to human error. To address this, the client sought to automate the entire process.

ROBOT TASKS:
The robot designed to process fuel invoices streamlined the service, regardless of the varying formats and transmission channels used by suppliers. In the initial phase, our team focused on standardizing the invoice intake process from all suppliers, whether sent by email or traditional mail.
Paper invoices were scanned, structured, and stored in the client’s designated folders, enabling them to be processed alongside electronic invoices in a fully automated manner. This approach ensured consistent handling of all invoice types, significantly improving process efficiency and enhancing customer satisfaction.
RESULT
By implementing Robotic Process Automation (RPA), the company significantly reduced the time required to process fuel costs. The solution enabled automatic reading of emails from suppliers and contractors, as well as downloading invoices and their attachments directly into the system. Relevant invoice data is now automatically extracted, transformed, and validated, with RPA robots handling data integration, cleaning, and formatting of spreadsheets into the required format.

This automation has greatly improved both the efficiency and accuracy of data processing. Additionally, the client benefited from reduced employee frustration caused by frequent supplier payment inquiries and avoided penalties associated with late invoice payments.
